The Hevolution Foundation recognizes the value of supporting high quality conferences, scientific meetings and workshops relevant to its mission to drive efforts to extend healthy human lifespan and understand the processes of aging.

Summary

Proposals for the support of scientific meetings, conferences, and workshops relevant to the mission of the Hevolution Foundation will be considered. Up to $10,000 per meeting may be requested, but the Hevolution Foundation will determine the final amount based on several factors, including but not limited to the number of expected attendees, duration of the meeting, and meeting venue. Larger support may be considered on a case-by-case basis. Applicants are encouraged to discuss in advance with the Hevolution Foundation if an exception to the funds limit is being sought.

Eligibility

Non-profit organizations, public and private universities, colleges, laboratories and government agencies in North America (Canada, Mexico and the United States of America), the United Kingdom, and countries in the European Union can apply. The meetings must also be held at venues in one of the eligible countries. For-profit entities or individuals are not eligible.

Review Criteria

The following criteria will be considered for making a funding decision, and if funded, determine the level of support.

  • Alignment of the meeting/conference to the mission of the Hevolution Foundation
  • Meeting Program/Agenda - the date(s) must be set and most speakers confirmed, a meeting website should be launched for prospective attendees
  • Venue format (in-person, virtual, hybrid)
  • Expected number of attendees (the exact number will not be known until the conclusion of the meeting)
  • Qualifications of the meeting organizers
  • Past meeting success and outreach (if applicable)
  • Overall budget and proposed support from Hevolution
  • Meeting location (if in-person)
  • Other funding sources (secured and pending)

How to Submit an Application

All questions/inquiries can be submitted to: grants@afar.org. All conference applications must be uploaded here. Applications are reviewed on a quarterly basis. Applications can be submitted up to one year, but not closer than three months after the next quarterly deadline, for example three months after the July 31 deadline would be no earlier than November 1. Applicants will be notified within one month after submission. Incomplete or late applications will not be reviewed or considered. Funding decisions are final.

If a deadline falls on a weekend, the deadline will be extended to the following Monday. No exceptions for holidays.

Award Amount

USD amount awarded varies. No indirect costs are allowed; funds may not be used to pay for alcoholic beverages.

Conditions of Support

Hevolution Foundation sponsorship must be acknowledged in all publicity, program materials, and any publications or proceedings directly resulting from the meeting. Copies of any publications and/or proceedings must be provided to the Hevolution Foundation and AFAR. The meeting organizers must submit an invoice in USD to AFAR within 60 days of the end of the meeting, conference or workshop. In general, complimentary registration for at least two Hevolution and/or AFAR staff/board members will be required.

If a meeting needs to be postponed for up to 18 months (from the original date of submission), the previously guaranteed Hevolution Foundation financial support will be transferred accordingly. If a meeting gets postponed for more than 18 months, the applicant should re-apply for financial support. Multiple postponements are not permitted. No financial support will be provided if the meeting is cancelled and if funds are received, they must be returned.
